Tags are an easy way to organize your Documents and Placeholders within your Folder structure. Use Tags to label Documents or Placeholders of similar topic or type for easy searching as your document library grows.
For example, mark resume or credential documents with the Tag "CV" for easy identification when searching multiple Folders. Common Tags include IRB, Activation, Communication, CVs, Training, Logs, Protocol, Finance, 1572, and FDA.
Once you add Tags, you will also be able to run a Tag report to see the location of all Tags within your Binder(s). Common Tag Report uses include evaluating the status of Activation requirements and reviewing various training documents (e.g., Protocol, GCP, CITI).
There are two methods for creating Tags:
Option 1. If you're using the template method to create your Folder structures, simply add a hashtag before the Tag you'd like to create. In the example template shown below, line 4 (*IRB Approval #IRB #Activation) will create a Placeholder for IRB Approval with two tags: IRB and Activation. This method is an easy way to create and assign Tags in bulk.
For instructions on using the template method to create a Folder structure, please see How do I set up my Folder structure?
Option 2. The second method of creating and assigning Tags is to use the "Manage Tags" feature available in "Settings." First, click on the "Settings" drop-down menu at the top right of the page. Then, select "Manage Tags" to create a new Tag. Using this feature, you can add a short description of the Tag and choose whether to enable this Tag for use in the Tag Report. This feature also enables you to edit and delete existing Tags.
Once you create a Tag, you can then assign it to Documents and Placeholders through the "Manage" option available on the Document or Placeholder screen.
Alternatively, add a Tag by selecting the box next to a Document or Placeholder and then selecting "Assign Tags."
Once Tags are assigned to an item, you will be able to view an item's Tags in the Global View, the Folder list page, and on the Document page. Whenever you see the Tag icon next to a Document or Placeholder, you can hover over it to get a quick view of any assigned Tags. You can also use the Reports feature to run Tag Reports that will help group documents with the same Tag together.
