How do I assign permissions directly to binders, folders, and documents?

Florence eBinder Suite™ currently has four types of Objects: Teams, Binders, Folders, and Documents. Permissions can be assigned at each of these Object levels in a hierarchical fashion (i.e., Permissions assigned at higher levels will be inherited by those Objects at lower levels).

For example, Permissions assigned at the Binder level will be inherited by any Folders or Documents within that Binder. However, Permissions assigned at the Document level will NOT be inherited by either the Folder or Binder that contains them.

Team Level Permissions

Team Level Permissions (TLP) are assigned by creating Roles. After Users are assigned a Role, all Objects are impacted by the Permissions assigned to that Role. For example, assigning a Role with the ability to manage Binders enables all Users with that Role to manage ALL Binders for that Team.

To manage TLP, you will need to create Roles via the "Manage Roles" option available in the "Settings" menu at the top right corner of your screen. For more information on creating and managing Roles, please see: What are roles, and how do I create them?

Binder Level Permissions

Binder Level Permissions (BLP) apply only to the current and future contents of the selected Binder. New Folders and Documents created within that Binder will be updated with the BLP. Binders, Folders, and Documents created outside of the selected Binder will NOT be updated with the Permissions assigned at the selected Binder level.

There are three options for assigning Binder Level Permissions:

Option 1: Assign BLP on the Manage Roles page

1. Access the "Manage Roles" page by selecting "Settings", then "Manage Roles," as shown above.

2. On the "Manage Roles" page, scroll down until you see a list of your Binders. Expand the Permissions list by clicking the "+" option, then check off any boxes next to the Permission you want to enable.

3. Click the "Save" button to save your changes.

Option 2: Manage BLP via the Binder List page

1. Select the Binder you want to manage by clicking on "Binders" from the menu on the left side of your screen.

2. Click the box next to the name of the Binder you want to manage, then click the "Permissions" link.

3. Search for the desired Role or User by typing the name or by typing "Role" or "User" to display a list of options.

4. Select/unselect the boxes to enable/disable each Permission, then click the "Save" button to save your changes.

Option 3: Manage BLP for Users and Roles via the Permission Overview page

Access the Permission Overview page either by selecting "Permission Overview" from the "Settings" drop-down menu at the top right of your screen (1), or by navigating to the Manage Roles page, checking the box next to the Role you want to review, then clicking the "Permission Overview" link (2).

You can also navigate to the Permission Overview from the Manage Roles Details page by scrolling to the bottom and clicking the "Click here to see Folder and Document Permissions link."

Folder Level Permissions

Folder Level Permissions (FLP) assigned at the Folder level apply ONLY to that Folder and Objects included within it. New Folders and Documents created within that Folder will be updated with the FLP. New Folders and Documents created outside that Folder will not be updated with the FLP.

Folder Level Permissions may be assigned to Roles or Users on the Folder List Page by selecting the desired Folder and then clicking the “Manage Permissions” link and following the same procedures described for Binder Permissions managed on the Binder List Page, as described above.

Or select the desired Folder in the list on the Permissions Overview page, then click the "Edit" button to manage the Permissions. Note: Only Users assigned with the Role "Manage Permissions for Entire Team" can view the Permissions Overview.

Document Level Permissions

Document Level Permissions are assigned at the Document level and apply ONLY to that Document. DLP can be managed using all of the same procedures as managing Folder Level Permissions, as described above.

Note: Manage Permissions at the Role level will update Permissions for ALL Users assigned to that Role. Managing Permissions for a User will update Permissions ONLY for the selected User.
